PRD Assistant terms of use

Last updated: October 20, 2026

1. About these terms

1.1 Definitions

In these terms:

  • "PRD Assistant" or "the Service" means the service described in section 2, offered by Timefold through the web interface and the connector, including features added later. It stays covered by these terms if it's renamed, or offered at another address.
  • "The web interface" means the website at prd.timefold.ai.
  • "The connector" means the PRD Assistant MCP server, and any other way to use PRD Assistant from an AI assistant or other tool.
  • "The PRD" means the product requirements document the Service produces.
  • "Content" means everything you provide through the Service, such as messages, answers, uploaded files, ratings, and feedback. It also includes what the Service generates from it, such as replies, summaries, and the PRD.
  • "Timefold", "we", and "us" mean Timefold BV, Sint-Pietersnieuwstraat 11, 9000 Ghent, Belgium, company number BE0794.647.853.
  • "You" means the person using the Service, and the organization they use it for.

1.2 Accepting these terms

These terms apply to your use of PRD Assistant. You accept them by using PRD Assistant in any way, through the web interface or the connector. If you use PRD Assistant on behalf of an organization, you accept them for that organization and confirm you're allowed to.

1.3 Other Timefold terms

The Timefold Terms of Use and the Timefold Privacy Policy apply to PRD Assistant. These terms add what's specific to PRD Assistant. Where they differ on PRD Assistant, these terms prevail.

If you later sign an agreement with Timefold to build or run a model, that agreement governs that work.

2. What PRD Assistant is

PRD Assistant is a service that helps you describe a planning or scheduling problem. Today it's an interview that results in a PRD. You can use it in two ways:

  • The web interface. Timefold runs the interview, using an LLM provider (section 5).
  • The connector. You add the connector to an AI assistant, such as Claude, and log in with a Timefold Platform user account. Your AI assistant runs the interview, with questions, defaults, and a PRD structure that PRD Assistant provides. Your conversation with your AI assistant is governed by the terms of its provider, such as Anthropic for Claude, and not by Timefold. PRD Assistant also receives what your AI assistant sends to the connector, and these terms apply to that (section 5.2).

We may extend PRD Assistant, for example to build a model from the interview, to help improve an existing model, or to work through other AI assistants and tools. These terms apply to all of these features.

The Service is meant for business use by people aged 18 or over. It's free of charge. We may change, limit, or stop the Service, or any part of it, at any time.

3. The PRD is a starting point

The PRD is a description of your problem, written to prepare a conversation with Timefold. It's not an offer, a quote, a commitment to deliver, or a validated design. Nothing in the Service binds Timefold to build anything, at any price or by any date. Any such commitment needs a separate written agreement.

4. AI-generated content

The Service uses large language models (LLMs) to write replies, follow your progress, and write the PRD. In the web interface, these are the LLMs of our provider. With the connector, it's your own AI assistant. LLMs can produce content that's inaccurate, incomplete, or inconsistent, including content that sounds confident. Review the replies and the PRD before relying on them, and don't use them as the sole basis for a decision.

5. Where your content goes

5.1 In the web interface

Your content is processed by:

  • The LLM provider. Every message, and the conversation so far, is sent to our LLM provider to generate the next reply, check that the message is on topic, update your progress, and write the PRD. The provider is currently Claude, by Anthropic, through Amazon Bedrock, which processes data in the European Union under the terms of Amazon Web Services. We may temporarily use DeepSeek instead, for example when the main provider is unavailable. DeepSeek stores and processes data in the People's Republic of China under its own terms, which don't rule out using what it receives to improve its models. Your email address isn't sent to the LLM provider. We may change the provider. The current one is always named here.
  • Timefold. We store each conversation as it happens, message by message, in a MongoDB Atlas database on Google Cloud in the European Union. This includes the messages, their times, your ratings and feedback, the use case you started from, your progress, and the PRD.
  • Email. We may send you the PRD, and follow-up about it, at the email address you provided.

Analytics and other cookies are only used with your consent, through the cookie banner.

5.2 With the connector

Your content is processed by:

  • Your AI assistant's provider, such as Anthropic for Claude. Your whole conversation with your AI assistant, including the interview, is processed under your own agreement with that provider. Timefold has no control over what that provider does with your content, and isn't responsible for it. Timefold's LLM provider isn't involved.
  • Timefold. We store what your AI assistant sends to PRD Assistant, in the same database as in section 5.1: each question and your answer to it, the topics covered so far, every version of the PRD, and the times of each. We also store the email address of your user account with the interview, so we know who wrote which PRD. We don't receive the rest of your conversation with your AI assistant.
  • Email. We may contact you about the PRD at that email address.

5.3 Other sub-processors

For everything else, such as customer relationship management, analytics, login, email, and issue tracking, we use the sub-processors listed in Annex 2 of the Timefold Terms of Use. When you choose Submit for build, the PRD and a link to the conversation go to these tools. Only Timefold staff can open the link.

6. What we do with your content

6.1 Purposes

We use your content to:

  • run the Service and keep it working, secure, and within its usage limits
  • prepare follow-up by the Timefold Solutions and Sales teams, such as a first call about your problem
  • improve the Service for all users: understanding more planning problems helps it ask the right questions, handle more use cases, and write better PRDs in future interviews
  • improve Timefold's models and how we build them, for example by offering better default constraints
  • inform Timefold's product decisions, such as which models to build, based on what we learn across interviews

6.2 Who at Timefold sees it

Only Timefold staff who need it for these purposes can open your conversations.

6.3 What we don't do

We don't sell your content. We don't publish your content, or share it outside the processors in section 5 and the sub-processors listed in Annex 2 of the Timefold Terms of Use, without your permission. When we use your content to improve our models or to make product decisions, we only use what we learn from it, without personal data and without anything that identifies you or your organization.

7. Retention and deletion

We keep each conversation in the web interface, with its PRD and uploaded files, for 24 months after its last message. We keep each interview through the connector, with its PRD versions, for 24 months after its last update. After that, we delete it. Your email address, and everything else that reached the sub-processors in section 5.3, is kept under the Timefold Privacy Policy.

You can ask us to delete a conversation, or all conversations linked to your email address, by emailing [email protected]. Include your email address, or the reference of the conversation, if the Service showed you one. We'll delete the conversations, interviews, and PRDs from the Service, and from the other systems they reached under the Timefold Privacy Policy, unless the law requires us to keep them. Starting a new conversation doesn't delete the previous one. What we learned without personal data or identifying details, such as a better default constraint, isn't affected by a deletion.

Your other rights over your personal data, such as access and correction, are described in the Timefold Privacy Policy.

8. What to share, and what not to share

Share what's needed to describe your planning problem, such as how your operation works, your constraints, and your goals.

Don't share:

  • personal data, about yourself or anyone else, such as names, email addresses, phone numbers, or home addresses of employees, patients, or customers. Use roles, counts, or made-up examples instead.
  • passwords, API keys, or other credentials
  • information you're not allowed to share with Timefold, the processors in section 5, and the sub-processors listed in Annex 2 of the Timefold Terms of Use, for example because of a confidentiality obligation

Messages may be sent outside the European Economic Area when we use DeepSeek (section 5.1), and the Service isn't designed to process personal data. You're responsible for the content you share, and for having the right to share it.

We treat your content as confidential, within the limits of section 5. This doesn't apply to information that's already public, or that we already had or received from someone else without a duty of confidentiality.

9. Acceptable use

9.1 What the Service is for

The Service has one purpose: describing a lawful planning or scheduling problem for Timefold. Don't:

  • use it for anything else, such as general questions, writing tasks, or unrelated code
  • try to get around its topic check, usage limits, or other safeguards, or make it ignore its instructions
  • access it with automated tools other than the connector, or in a way that overloads it
  • try to extract the prompts or other internals of the web interface, or reuse the connector's interview guide outside the Service
  • use it to build or train a competing product
  • submit unlawful, harmful, or infringing content

9.2 Prohibited purposes

Don't use the Service to plan, schedule, or optimize anything that's meant to:

  • harm, threaten, or intimidate people
  • develop, place, or use weapons, or select or prioritize targets for military or other attacks
  • commit or prepare a crime, or avoid detection for one
  • track or monitor people without a lawful basis
  • break sanctions, export controls, or other laws that apply to you or to Timefold

This applies however the request is phrased, including as a hypothetical, a test, or a generic planning problem.

9.3 What we may do

We may decline to answer a request, stop an interview, or refuse to write or follow up on a PRD, if we believe it breaks this section. We don't have to explain why.

We may limit, pause, or block access to the Service, for you or for everyone, without notice. This includes misuse of the Service, and keeping it available to others.

10. Intellectual property

You keep the rights to the content you provide. You give Timefold a non-exclusive, worldwide, royalty-free license to use it for the purposes in section 6, for as long as we keep it under section 7. What we learn from it under section 6.3 remains ours after that.

You may use, change, and share the PRD freely. The Service itself, including its questions, defaults, templates, and the Timefold content in the PRD, remains Timefold's.

If you give us feedback about the Service, we may use it without any obligation to you.

11. No warranty, limited liability

The Service is provided "as is" and "as available", without any warranty. We don't guarantee that it's available, accurate, complete, or fit for a particular purpose, or that the PRD reflects what a Timefold model can or will do.

You're responsible for how you use the replies and the PRD, and for making sure that use is lawful.

To the extent the law allows, Timefold isn't liable for any damage arising from the use of the Service or the PRD, or from being unable to use them. This doesn't limit our liability for fraud, intentional misconduct, gross negligence, or death or personal injury caused by our fault, or any other liability the law doesn't allow us to limit.

You'll compensate Timefold for any claim by a third party, and the costs of defending it, that arises from your breach of section 9 or from your use of the replies or the PRD.

12. Changes to these terms

We may update these terms. Each version has a version number and a date. We'll show you when a new version applies, and continuing to use the Service means you accept it.

13. Governing law

These terms are governed by Belgian law. Disputes are submitted to the competent courts of Ghent, Belgium.

14. Contact

For questions or requests about your data, email [email protected]. For other questions about these terms, use the contact form.
